Privacy policy

The event organiser and data controller is Kestävän tulevaisuuden Suomi ja Eurooppa ry. Signup data includes name, email, phone number, billing method and necessary billing details (invoice recipient, email or postal address, and reference), as well as optional special-diet and allergy information. The data is used to administer signups and attendee communications, arrange catering, and issue invoices. Other signup and billing details are processed to administer the signup and invoicing. Special-diet and allergy information may be health data; it is processed on the basis of your explicit consent.

Data is accessed by the organiser's authorised personnel and service providers supporting the signup form and CMS, email delivery, or accounting. Event signup data is not used for marketing. The signup system deletes special-diet and allergy information 30 days after the event and attendee contact details six months after the event. Information that forms part of accounting records is retained for the period required by accounting law. The same retention periods apply to backups and working copies of downloaded CSV files.

When you join the supporter list, your name, email address and phone number, and optionally whether you want to join the WhatsApp group, are sent to Mailchimp to manage the mailing list and campaign communications. A new contact is stored as pending and is subscribed only after email confirmation. Mailchimp acts as a service provider and processes the data to maintain the list and send messages. Data is kept on the list while the subscription is active; you can unsubscribe using the link in a message. Mailchimp may retain unsubscribed records to demonstrate subscription status. Event signup data is not used for campaign communications.

You may request access to, correction or deletion of your data, restrict or object to processing, and withdraw your consent by contacting the controller at teemu.backnas@kuopio.fi. State whether your request concerns an event signup or supporter subscription. We normally respond within one month. You may also lodge a complaint with the Office of the Data Protection Ombudsman in Finland (tietosuoja.fi).
